Cancellation & Refund Policy

This policy outlines the terms for cancelling a confirmed booking with Travel and Culture Club ("we", "us", "our"). We understand that unforeseen circumstances can arise, and we aim to be fair while also balancing our commitments to local partners and operational costs.

1. How to Cancel Your Booking

All cancellation requests must be submitted to us in writing via email to contact@tcclub.co.kr.

The effective date of cancellation will be the date we receive your written notification.
2. Client-Initiated Cancellation Charges
Cancellation charges vary by tour type and are definitively detailed on each individual Tour Page and in your Booking Confirmation. Please refer to the specific cancellation terms applicable to your booked trip.
As a general guideline and example for typical tours allowing last-minute bookings, the following tiered cancellation structure may apply:

2.1. 5 days or more prior to departure:

90% of the total Tour price will be refunded. A 10% cancellation fee will be retained to cover administrative costs and non-refundable expenses incurred.

2.2. 2 to 4 days prior to departure:

50% of the total Tour price will be refunded. 50% of the total Tour price will be charged as a cancellation fee.

2.3. Less than 2 days prior to departure (including no-shows):

0% of the total Tour price will be refunded. 100% of the total Tour price will be charged as a cancellation fee (No Refund).

No refunds will be given for any unused services, accommodation, or meals once the Tour has commenced.
2.4. Circumstances for Termination without Penalty (or reduced penalty): As per Section 5.1 of our Terms & Conditions, a client may terminate the contract before departure due to certain significant personal circumstances such as:

2.4.1. Company-initiated significant changes to travel conditions (as detailed in Terms & Conditions Section 4.2.2).

2.4.2. The traveler's other travel conditions being significantly different, making a smooth trip difficult.

2.4.3. The traveler being unable to participate due to a significant health problem (with doctor's certificate).

2.4.4. Hospitalization of traveler or close family member for 3+ days, or difficulty departing from 3 days before departure (with doctor's certificate).

2.4.5. Travel date change due to a change in the travel agreement (with doctor's certificate). In such cases, specific compensation for damages may apply as outlined in our Terms & Conditions.
3. Company-Initiated Cancellation

3.1. Minimum Numbers: If minimum participant numbers are not met, we reserve the right to cancel the Tour up to 48 hours prior to the departure of a multi-day tour, or 24 hours prior to a same-day tour. In such cases, you will be offered an alternative Tour of comparable value or a full refund of all monies paid to us. If we fail to give notice by the specified due date, we will compensate 100% of the tour fee in addition to the refund.

3.2. Other Operational Reasons: In the rare event that we must cancel a Tour for other operational reasons (as detailed in Terms & Conditions Section 4.2.2), we will notify you as soon as reasonably possible. You will be offered an alternative Tour of comparable value or a full refund of all monies paid to us.

We are not responsible for any incidental expenses or consequential losses you may have incurred as a result of such cancellations, including but not limited to international flights, visas, or other non-refundable costs.
4. Cancellation Due to Force Majeure
"Force Majeure" [as defined in Section 1.5 of our Terms & Conditions] refers to any unforeseeable and uncontrollable event (e.g., acts of God, war, riot, civil unrest, natural disaster, epidemic/pandemic, governmental action, travel restrictions). If a Tour is significantly impacted or canceled due to Force Majeure, we will endeavor to offer:

A travel credit for future use with Travel and Culture Club.

An alternative Tour date.

A refund, minus any non-recoverable costs already incurred by the Company (e.g., non-refundable payments to suppliers, administrative fees). The amount of refund will depend on the specific circumstances and our ability to recover funds from third-party suppliers. Our primary goal is to minimize disruption and provide fair alternatives. However, due to the nature of Force Majeure events, we cannot guarantee full refunds, and our liability for consequential losses (such as flights, visas, etc.) remains limited as per our Terms & Conditions.
5. Travel Insurance - Highly Recommended
We strongly advise all clients to purchase comprehensive travel insurance immediately after booking their trip. Adequate travel insurance should cover:

Trip cancellation and interruption due to unforeseen circumstances (e.g., illness, family emergency).

Medical emergencies and personal accidents.

Emergency repatriation.

Loss of luggage and personal belongings. Purchasing travel insurance can protect you from financial loss in the event of cancellation, whether by you or by us under certain circumstances.
