Terms & Conditions Last Updated: July 15, 2025

Welcome to Travel and Culture Club ("we", "us", "our"). By accessing our website, Browse our tours, or booking any travel services with us, you ("Client", "you", "your") agree to be bound by these Terms & Conditions, which constitute a legally binding agreement between you and Travel and Culture Club. Please read them carefully.

1. Definitions

  • 1.1. Company: Refers to TcClub Co., operating as Travel and Culture Club, a company registered under the laws of South Korea.

  • 1.2. Client/You: The person(s) who browse, inquire about, or book a Tour with the Company.

  • 1.3. Tour/Trip/Service: Any travel itinerary, package, or service offered and booked through the Company, including but not limited to guided tours, custom itineraries, accommodation bookings, and transportation services in South Korea.

  • 1.4. Booking: The process of reserving a Tour with the Company, initiated by full payment.

  • 1.5. Force Majeure: Any event or circumstance beyond the reasonable control of the Company, including but not limited to acts of God, war, riot, civil unrest, terrorist attack, industrial dispute, natural disaster, epidemic, pandemic, significant health crisis, fire, flood, extreme weather conditions, mechanical failure, power outages, governmental action, or travel restrictions.

2. Booking & Confirmation

  • 2.1. Booking Request: All booking requests are subject to availability.

  • 2.2. Booking Process: Bookings can be made directly through our website's online booking system or via email.

  • 2.3. Confirmation: A booking is considered confirmed only upon our written confirmation (typically via email) after receipt of full payment. Prior to confirmation, all prices and availability are subject to change.

  • 2.4. Client Information: You must provide accurate and complete information for all travelers at the time of booking, including full legal names, passport details (as required), contact information, and any special requests (e.g., dietary, medical conditions). We are not responsible for issues arising from inaccurate or incomplete information provided by you.

  • 2.5. Minimum Age: All clients must be 18 years of age or older to make a booking. Clients under 18 must be accompanied by a parent or legal guardian.

  • 2.6. Deemed Delivery of Contract: Your agreement to the contents of the travel contract, terms, and itinerary (or travel description) provided through the internet or other electronic means, or your request to conclude the travel contract by signing and expressing intent to agree to the travel contract using electronic regular equipment, is deemed as receipt of these documents.

3. Pricing & Payment

  • 3.1. Pricing: All prices are quoted in South Korean Won (KRW) unless otherwise specified, and are subject to change until a booking is confirmed.

  • 3.2. Inclusions & Exclusions: Each Tour description clearly outlines what is included (e.g., accommodation, specific meals, transportation, guide services, airport fees, entrance fees, visa application fees) and what is excluded (e.g., international flights, visas, travel insurance, personal expenses, tips, optional activities).

  • 3.3. Payment Requirement: Full payment of the total Tour price is required at the time of booking to secure your spot. Your booking will not be confirmed until full payment is received.

  • 3.4. Payment Methods: We accept major credit cards (Visa, MasterCard, American Express), PayPal, and direct bank transfers. All payments are processed securely.

  • 3.5. Price Amendments: We reserve the right to amend prices due to significant changes in exchange rates, government action, or increases in supplier costs beyond our control. Any such changes will be communicated to you as soon as possible.

4. Changes & Amendments

  • 4.1. Client-Initiated Changes:

    • 4.1.1. Changes to a confirmed booking may be possible subject to availability and supplier terms, and may be treated as cancellations and re-bookings subject to our Cancellation & Refund Policy. An administration fee may apply.

  • 4.2. Company-Initiated Changes:

    • 4.2.1. Minor Changes: We reserve the right to make minor changes to an itinerary (e.g., hotel substitution of similar standard, change in order of activities) if operational necessity requires, or due to requests from local authorities/sites. We will endeavor to notify you of such changes.

    • 4.2.2. Significant Changes to Tour Itinerary: In the unlikely event of a significant change to your Tour (e.g., change of departure date by more than 24 hours, change of destination, significant reduction in included services, or if the purpose of the trip cannot be achieved due to unforeseen circumstances), we will notify you as soon as possible and offer you the choice of:

      • Accepting the change.

      • Accepting an alternative Tour of comparable standard and price (if available).

      • Receiving a full refund of all monies paid to us. We are not responsible for any incidental expenses you may have incurred as a result of the booking, such as flights, visas, or other non-refundable costs.

    • 4.2.3. Vehicle Change After Departure: If a problem with the departure vehicle after travel departure makes it difficult to proceed, we will arrange a replacement vehicle. If a premium product is replaced with a general one due to unavailability, the price difference will be refunded. Specific refund regulations for changes/refunds after departure are detailed in our Cancellation & Refund Policy.

5. Client-Initiated Cancellation (Overview)

All cancellations must be submitted to us in writing via email to contact@tcclub.co.kr. The effective date of cancellation will be the date we receive your written notification. Important Note: Cancellation charges vary by tour type and are definitively detailed on each individual Tour Page and in your Booking Confirmation. No refunds will be given for any unused services, accommodation, or meals once the Tour has commenced.

Circumstances for Termination without Penalty (or reduced penalty): A client may terminate the contract before departure due to certain significant personal circumstances as per Section 5.1 of our Cancellation & Refund Policy, such as:

  • 5.1.1. Company-initiated significant changes to travel conditions (as detailed in Section 4.2.2 of these T&Cs).

  • 5.1.2. The traveler's other travel conditions being significantly different, making a smooth trip difficult.

  • 5.1.3. The traveler being unable to participate due to a significant health problem (with doctor's certificate).

  • 5.1.4. Hospitalization of traveler or close family member for 3+ days, or difficulty departing from 3 days before departure (with doctor's certificate).

  • 5.1.5. Travel date change due to a change in the travel agreement. In such cases, specific compensation for damages may apply as outlined in our Cancellation & Refund Policy.

6. Company-Initiated Cancellation

  • 6.1. Minimum Numbers: Some Tours may be subject to minimum participant numbers. If these numbers are not met, we reserve the right to cancel the Tour up to 48 hours prior to the departure of a multi-day tour, or 24 hours prior to a same-day tour. In such cases, you will be offered an alternative Tour of comparable value or a full refund of all monies paid to us. If we fail to give notice by the specified due date, we will compensate 100% of the tour fee in addition to the refund.

  • 6.2. Other Operational Reasons: In the rare event that we must cancel a Tour for other operational reasons (e.g., as detailed in Section 4.2.2 of these T&Cs), we will notify you as soon as reasonably possible. You will be offered an alternative Tour of comparable value or a full refund of all monies paid to us.

  • We are not responsible for any incidental expenses or consequential losses you may have incurred as a result of such cancellations, including but not limited to international flights, visas, or other non-refundable costs.

7. Force Majeure

In the event of Force Majeure [as defined in Section 1.5], we reserve the right to modify, postpone, or cancel any Tour at any time. If a Tour is cancelled due to Force Majeure, we will work with you to offer:

  • A travel credit for future use.

  • An alternative Tour date.

  • A refund, minus any unrecoverable costs already incurred by the Company (e.g., non-refundable payments to suppliers, administrative fees). The amount of refund will depend on the specific circumstances and our ability to recover funds from third-party suppliers. We are not responsible for any incidental expenses or consequential losses that you may have incurred as a result of such cancellations, including but not limited to international flights, visas, vaccinations, or other non-refundable costs.

8. Client Responsibilities

  • 8.1. Passports, Visas & Health: It is your sole responsibility to ensure you possess a valid passport, necessary visas, permits, and vaccination certificates required for your travel to South Korea and any other countries involved in your itinerary. We are not liable for any refusal of entry or any costs incurred due to non-compliance with these requirements. We recommend checking requirements well in advance.

  • 8.2. Travel Insurance: Comprehensive travel insurance is highly recommended (and may be mandatory for certain tours). Your insurance should cover personal accident, medical expenses, emergency repatriation, cancellation, curtailment, and loss of luggage.

  • 8.3. Health & Fitness: You must be in good health and physical condition to participate in the Tour. You are responsible for informing us of any medical conditions, allergies, or disabilities that may affect your ability to participate or require special arrangements.

  • 8.4. Local Laws & Conduct: You must abide by the laws and customs of South Korea. We reserve the right to remove any client from a Tour if their behavior is disruptive, illegal, or compromises the safety or enjoyment of other participants. No refund will be issued in such cases.

  • 8.5. Following Instructions: You must follow the instructions of our guides and staff regarding safety and itinerary.

9. Limitation of Liability

We act as an agent for various third-party service providers (e.g., hotels, transportation companies, local guides, activity providers). We endeavor to select reputable suppliers, but we are not responsible for their acts, omissions, or negligence. Our liability for any loss, damage, injury, or death arising from any Tour service is limited to the cost of the Tour itself. We shall not be liable for any indirect, incidental, special, or consequential damages. We are not liable for any loss or damage to your personal belongings during the Tour.

10. Complaints & Dispute Resolution

If you have a complaint during your Tour, you must inform your guide or our local representative immediately to allow us the opportunity to resolve the issue on the spot. If the issue cannot be resolved locally, you must submit your complaint in writing to contact@tcclub.co.kr within 14 days of the Tour completion date. We will investigate and respond within a reasonable timeframe. Any dispute arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Seoul, South Korea. If agreement is not reached through mutual discussion, it shall be governed by relevant laws and regulations.

11. Governing Law & Jurisdiction

These Terms & Conditions shall be governed by and construed in accordance with the laws of South Korea. Any dispute arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Seoul, South Korea.

12. Miscellaneous Provisions

  • 12.1. Updates to Terms & Conditions: We reserve the right to update or modify these Terms & Conditions at any time. The "Last Updated" date at the top of this page indicates when the latest revisions were made. Your continued use of our services after any such changes constitutes your acceptance of the new Terms & Conditions.

  • 12.2. Special Area Rules: For travel in special areas, special rules may apply that differ from the contents of this contract.

  • 12.3. Internet Contracts: For internet contracts, it is assumed that the terms and conditions have been fully understood and the contract is deemed to be formed.

  • 12.4. Cash Receipts: Cash receipts are issued only for the supply price (sales revenue) excluding travel agency commissions for domestic operation, accommodation/meals/entrance fees, etc.
